QUICK REFERENCE GUIDE
The purpose of this guide is to give you a BRIEF description of each position on the Parent, Teacher, Student Association (PTSA) Board. We encourage you to find a position or committee where you would enjoy serving. We welcome all parents that are interested. Our board has plenty of room to expand and grow and we would be excited to have you join us. EXECUTIVE BOARD
PRESIDENT / CO-PRESIDENT(S): Work closely with school administrators to coordinate efforts to improve our school. Conduct General PTSA meetings and board meetings. Attend local Council meetings and report information to the board. Provide leadership and direction for the board and all committees throughout the year.
VICE PRESIDENT(S): According to PRHS PTSA By-Laws we can have a Fist VP and a Second VP serving on the board. The 1st VP is a support to the President/Co-Presidents. He/She would carry out duties as necessary to support the entire board. Currently this position has also been responsible for keeping our PTSA web page up to date with information for parents. The 2nd VP helps to support the various committees. Currently this position has also been responsible for all media/public relations’ news. He/She would make sure parents and students know what the PTSA has planned or has done to improve our school community.
SECRETARY: Take minutes at all General Meetings and Board Meetings. Keep a notebook with accurate records of minutes. He/She must type minutes and email or copy to all board members for their review. Review minutes at each meeting.
TREASURER: Lead board in establishing a budget using previous year as a reference. Prepare an accurate report for review for all General Meetings and Board Meetings showing current dollar amounts. This person must maintain accurate records in an organized manner. Remit payments to Georgia PTA for dues, insurance, fees or conferences, etc. each month, if necessary. Have books audited at the end of school year.
COMMITTEES
HOSPITALITY: They are the official hosts of our PTSA unit, which provides a friendly, welcoming environment for parents, administrators, faculty and staff. The committee organizes a faculty breakfast and luncheon, as well as providing refreshments and goodies for faculty throughout the year. They also provide refreshments during special programs for parents/students that are sponsored by the PTSA.
LEGISLATIVE/ADVOCACY: Report information to board members and parents on the local, state and national issues concerning legislation that affects education and our children. This would be a new committee for PRHS PTSA.
LITERACY: This committee has primarily focused their efforts to support RATR (Reading Across The Ridge) Day. The Literacy Committee organized the sale of Donuts and Dippin Dots to raise money to purchase much-needed books for the Media Center. They organized numerous volunteers and put together breakfast bags for all faculty members to grab and go. RATR is a one-day school event held around the last day in August.
MEMBERSHIP: Promote and encourage parents, faculty and staff to join the PTSA by setting up a table during Pride Day held the week before school begins. The committee is an active part of the faculty/staff luncheon held before the school year begins taking membership forms, issuing cards and collecting dues. These efforts are continued throughout the year at various opportunities to reach out to large groups of parents to encourage membership.
PROGRAMS: Plan and help implement PTSA sponsored programs that will enrich our students, parents and the school. Review advertising materials received by the board for potential and report ideas to board. This would be a new committee for PRHS PTSA.
REFLECTIONS: Promote and encourage students to participate in the National PTA cultural arts program. Student’s entries consist of Literature, Musical Composition, Visual Arts, Dance/Choreography, Photography, and Film/Video Production. The committee works closely with faculty to get support for distributing information and collecting entries from students. The committee gathers a panel of judges from the community, entries are judged and winners go onto to county, and possibly to state and national levels. Organizing and sorting entries into categories, making sure all entries meet requirements, submit entries to Hudgens Art Center on designated due date.
VOLUNTEER COORDINATOR: Coordinate all volunteer information into a computer format that can be used to notify parents of a volunteer need at the school, for the board or even for students. This is an ongoing support system for the PTSA board and committees as well as PRHS Administrators.
